Privacy Policy

AeroSchool is a school management platform. Most of the personal data processed through the Service is provided to us by the schools that subscribe to it (each, a "School"), who act as the data controller for their students', staff's and parents' information. Stratumfox processes that data on the School's behalf, as a data processor / service provider, in accordance with the School's instructions and this Policy.

Depending on how the Service is used, we may collect:

• Account information: name, role, email address, phone number and login credentials for School administrators, staff, parents/guardians and students.
• Student and academic records: enrollment and guardian details, attendance, examination results, report cards, and documents uploaded by the School for compliance purposes (such as UDISE+ fields).
• Financial information: fee invoices and payment status. Card and payment instrument details are collected and processed directly by our payment gateway partners (such as Razorpay or Cashfree), not stored by AeroSchool.
• Communications: announcements, notices and messages sent through the platform, and delivery logs for SMS, email, push and WhatsApp notifications.
• Usage and device data: log data, IP address, device and browser information, and similar technical data collected automatically when the Service is used.
• Website contact form data: name, work email, school name, phone number and message content submitted through the "Request a demo" form on this website.

Because AeroSchool is used by schools, it necessarily processes information about students who may be minors. Student accounts and data are created and managed by the School (or by a parent/guardian), not by the student directly signing up. We rely on the School's relationship with, and consent obtained from, parents/guardians as the basis for processing student data, and we only use that data to provide the Service to the School. We do not knowingly use student data for advertising or sell it to third parties.

• To provide, operate and maintain the Service.
• To process fee payments and payroll through our payment and banking partners.
• To send attendance, academic, fee and administrative notifications via SMS, email, push notification or WhatsApp.
• To respond to support requests and demo requests submitted through this website.
• To maintain the security, integrity and performance of the Service, and to prevent misuse.
• To comply with applicable legal, regulatory and educational board reporting obligations (such as UDISE+ or NEP 2020 reporting requested by a School).

We share information only where necessary to operate the Service:

• With the School itself — administrators and authorized staff of a School can access data relevant to their role.
• Service providers — payment gateways (Razorpay, Cashfree), SMS/WhatsApp/email delivery providers, and cloud hosting infrastructure, each bound by confidentiality and data protection obligations.
• Legal and safety reasons — where required by law, regulation, legal process, or to protect the rights, property or safety of Stratumfox, our Users, or others.

We do not sell personal data, and we do not share student data for third-party advertising purposes.

We retain data for as long as a School's subscription is active, and for a reasonable period afterward as needed to comply with legal, regulatory, academic record-keeping or dispute resolution requirements, after which it is deleted or anonymized, subject to the School's instructions and applicable law.

We use administrative, technical and physical safeguards designed to protect information against unauthorized access, alteration, disclosure or destruction, including access controls, encryption in transit, and role-based permissions within the Service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Subject to applicable law (including India's Digital Personal Data Protection Act, 2023, where applicable), you may have the right to access, correct, update or request deletion of your personal data. Because Schools control most of the data on the platform, requests relating to student, staff or parent records are generally directed to the relevant School in the first instance; we assist the School in responding to such requests.

This website and the Service may use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above, and, where appropriate, communicated to Schools.
